1. Who is responsible for your data
ImportBrain is operated by Emmanuel Aweperi Adiba, trading as Portforge Technologies, CB44 Ana St, Tindonmolgo. We are the data controller for your account information under the Data Protection Act, 2012 (Act 843).
For the business records you enter about your own customers and suppliers, you are the data controller and we process that data on your behalf.
2. Your business data stays yours
ImportBrain is a separate product from GearDockGH, a retail business. GearDockGH has no access to your ImportBrain data. Portforge Technologies staff access your business data only when you ask us for support, or when it is necessary to keep the service secure and working. We never sell your data or share your costs, suppliers or margins with other businesses.
3. What we collect
- Account details: your name, email address, phone number and business name.
- Business data you enter: batches, purchases, suppliers, costs, exchange rates, orders, customers, inventory and any files you upload.
- Payment details: handled by Paystack. We receive confirmation of payment and a reference, not your full card or mobile money details.
- Website usage: our public website uses Google Analytics, which sets cookies to count visits and see which pages are used.
4. Why we use it
- To provide ImportBrain to you, which is necessary to perform our contract with you.
- To bill you and keep records that tax law requires us to keep.
- To give you support and send you messages about your account, such as renewal reminders.
- To keep the service secure and prevent misuse.
- To understand how the website and product are used, using aggregated statistics that do not identify your business data.
5. Who we share it with
We use the following service providers to run ImportBrain. They may only use your data to provide their service to us.
- Vercel Inc. — Hosting of the website and web app. Location: Washington, D.C., USA (iad1).
- Hetzner Online GmbH — Hosting of the application server and database. Location: Helsinki, Finland.
- Cloudinary — Storage of files and images you upload. Location: United States.
- Google Analytics — Visitor statistics for the public website. Location: United States.
- Paystack — Subscription payments by card and mobile money. Location: Ghana / Nigeria.
Some of these providers store data outside Ghana. Where that happens, we rely on their security and data protection commitments to protect it to a standard comparable with Act 843.
We may also disclose data where the law requires it, for example to a court or regulator.
6. How long we keep it
- We keep your account and business data while your account is open.
- After you cancel, we keep it for 90 days so you can return or export it. We warn you before deleting it, then delete it.
- We keep billing records for as long as tax law requires.
7. How we protect it
Data travels between your browser and ImportBrain over encrypted connections. Each business's records are stored separately from other businesses' records, and access is limited to people who need it to run the service.
8. Your rights
Under Act 843 you can ask us to:
- tell you what personal data we hold about you and give you a copy;
- correct data that is wrong;
- delete your data, unless we must keep it by law;
- stop using your data for a particular purpose.
Email support@importbrain.net to make a request. If you are unhappy with our response, you can complain to the Data Protection Commission of Ghana.
9. Changes to this policy
We will tell you by email or in the app before we make significant changes to this policy.
